For a training provider, use the combined learner population of realistic client accounts. Do not model only the provider’s own headcount.

2. How Many Client Environments You Need

A business with 12 client companies and 100 learners in each is not merely a 1,200-learner LMS account. It may also need 12 separately branded environments, 12 client administrators, 12 client-level report views, and strong data isolation.

What Features Matter Most in a Customer Training LMS?

Multi-Tenant Delivery and Client Administration

If you serve several companies, ask the vendor to create two test clients during the demo. Verify that Client A cannot see Client B’s learners, reports, discussions, catalog restrictions, or administrator functions. Then confirm that your central team can still see both accounts without rebuilding the reporting layer in spreadsheets.

Instructor-Led and Cohort Training

If live delivery is meaningful to the business, test an end-to-end operating workflow. Create two cohorts of the same program, assign different schedules and instructors, run a live class, capture attendance, attach the recording, and show cohort-level reporting. This reveals much more than asking whether the LMS “integrates with Zoom.”

Certification and Re-Certification

If a credential carries contractual, professional, or compliance value, test expiry rules, re-certification, historical certificate records, verification, reporting by client or region, revocation, and client-level visibility. A PDF certificate generator is not the same thing as certification operations.

CRM and Customer-Success Data

For a SaaS customer academy, decide whether learning activity must appear inside Salesforce, Gainsight, HubSpot, or another customer system. Test the login page, custom domain, learner portal, emails, certificates, and mobile experience separately. External learners often experience the LMS as part of your brand or your client’s brand, so “white label” needs to be demonstrated at the surfaces that matter.

How to Migrate to a Customer Training LMS Without Losing Critical Data

1. Audit content before moving

Separate SCORM or xAPI packages, native LMS pages, video, downloadable assets, assessments, question banks, certificates, and recordings. Standards-based packages can improve portability when both systems support them, but native course builds may still require rebuilding.

2. Map learners to organizations before import

Do not migrate a multi-client business as one flat user file. Map learner, client, program, role, and certification status before import.

3. Preserve certification history

If certification matters, retain certificate identifiers, issue dates, expiry dates, program or exam relationships, historical status, and any verification data required for audit or client reporting.

4. Rebuild client permissions deliberately

Test every client-administrator role before launch. A client admin should be able to perform the intended tasks without gaining access to another client’s learners, content, or reports.

5. Stage high-risk cutovers

For large programs, consider migrating one client group or cohort first. Test enrollment, authentication, live delivery, reporting, certificate workflows, and support before moving every external audience.

There is no reason to demo all ten. Identify the operating model first, eliminate products that fail your tenant, learner, or pricing constraints, and take two or three realistic workflows into the remaining demos.

Choose the Platform Against a Real Customer Workflow

Most serious customer-training platforms can host content, enroll users, issue certificates, and report completions. The meaningful differences appear when the LMS has to reflect the way your business actually sells and delivers training.

How many client organizations do you serve? Who administers them? How many live cohorts run simultaneously? How do credentials expire? Which learning data must reach the CRM? What happens when one customer adds 500 learners? What can that customer see when its administrator logs in?

Answer those questions before comparing feature counts.
